Withdrawals, cancellations, refunds

Students funded by the StrongerBC future skills grant may have different withdrawal deadlines than those listed below. For more information, visit ufv.ca/fsg.

 

The following applies to all Continuing Education (CE) programs and courses under the purview of the Faculty of Education, Community, and Human Development (FECHD) except the Paralegal Certificate, Paralegal Diploma, and Civic Governance and Innovation Certificate, which follow the academic withdrawal dates, deadlines, and policies found on the Office of the Registrar’s website.

Definitions

For the purposes of administering refunds and withdrawals, the term "program" refers to any CE certificate or diploma program that is cohort-based, while the term "course" refers to any CE course that can be completed either as a stand-alone course or as part of a certificate program that is not cohort-based.

Under this definition, CE’s programs are as follows:

  • Activity Assistant
  • Medical Office Assistant
  • Advanced Medical Office Assistant
  • Dental Office Receptionist
  • Nursing Unit Clerk
  • Legal Administrative Assistant
  • Veterinary Administrative Assistant
  • Bookkeeping for Small Business (3-month accelerated bundle)
  • Bookkeeping for Small Business (6-month part-time bundle)

The term "courses" refers to all of CE’s other offerings, including not only standalone courses such as First Aid, but also the courses from programs that are not cohort-based (e.g. Public Relations, Records Management, Human Resources Management, Bookkeeping unbundled courses, Management Skills, etc.).

This does not apply to the Nursing Foot Care course, as this course is offered in partnership with a third party and is subject to their withdrawal/refund policies.

Payment

Programs: Students pay in full for their program at the time of registration unless otherwise indicated. If they are receiving a sponsorship or student loan funding, they must confirm arrangements of alternative payment or fee deferral with the Office of the Registrar at the time of registration.

Courses: Students pay for individual courses in full at the time of registration. If they are receiving a sponsorship, they must confirm arrangements of alternative payment with the Office of the Registrar at the time of registration.

Withdrawals

Students must withdraw from courses and programs by calling the Office of the Registrar during regular business hours per the withdrawal schedule below. Continuing Education staff may also initiate a withdrawal on a student’s behalf when requested by the student via email communication.

Withdrawing from programs

For programs, students must withdraw within the first ten business days from the program’s start date.

Students who do not attend the first day of class in the program’s first course may be withdrawn from the program.

Withdrawing from courses

For one-day courses, students must withdraw at least two full business days prior to the course's start date to be eligible for a refund (see Refunds section below). For example, a student withdrawing from a one-day Saturday course would have to withdraw by no later than the end of the business day on Wednesday.

For all other courses, students must withdraw prior to the start of the second day of the course to be eligible for a refund.

Students who do not attend the first day of a course will be withdrawn. They may register again in a subsequent section if space is available but will be required to pay the full tuition fee again.

Refunds

Programs

  • Up to 10 business days before the program starts: Students who withdraw from a program up to 10 business days prior to the program start date will receive a 90% refund of the full tuition fee amount.

  • 9 or less business days before the program starts: Students who withdraw from a program less than 10 business days prior to the program start date will receive an 80% refund of the full tuition fee amount.

  • Once the program starts: Students who withdraw or are withdrawn from a program up to the 10th business day after the program start date will receive a 70% refund of the full tuition fee amount.

  • After the 10th business day of the program: Students will not receive a refund of any amount if withdrawing after the 10th business day from the program start date.

Courses

  • For one-day courses: Students who withdraw at least two full business days prior to the course's start date will receive an 80% refund of the full tuition fee amount. Students will not receive a refund of any amount if withdrawing after this date.

  • For courses longer than one day: Students must withdraw prior to the start of the second class to be eligible for a 70% refund of the full tuition fee amount. Students will not receive a refund of any amount if withdrawing after this date.

Students who do not attend the first day of a program or course will be withdrawn.

Students eligible for a refund may leave the refund amount on their account to be applied to subsequent courses, or may request a refund through the Office of the Registrar. See “Refund Payments”.

Appeals

Students experiencing extenuating circumstances may submit an appeal.

Students must complete the Continuing Education Appeal for Late Withdrawal Form and submit it to continuingeducation@ufv.ca, along with a written rationale and any relevant supporting documentation, before the end of the course or program from which they wish to withdraw. Appeals will be reviewed by the Continuing Education Appeals Committee.

Appeals will only be considered if the student can demonstrate there were extenuating circumstances beyond their control that prevented them from completing the course or program and/or withdrawing before the deadline for a refund. Failure to be aware of, or meet, withdrawal deadlines or the desire to avoid a poor grade are not grounds for a late withdrawal. To be considered for a late withdrawal, the student must submit a written request with a personal statement describing their circumstances and, wherever possible, provide supporting documentation, such as a medical certificate.

All decisions made by the Continuing Education Appeals Committee are final.

Refund payments

  • Students may register in an alternate course when withdrawing and apply the balance to the new course.
  • All refunds are issued by cheque within two weeks of the request. Ensure your mailing address is correct by checking your account.

Sponsorship

  • For sponsored students, refunds are issued to the sponsor.
  • The same cancellation and withdrawal policy applies to sponsored students.

Cancellations by 51

  • 51 Continuing Education reserves the right to cancel courses or programs with low enrolment.
  • If a course or program is cancelled, you will receive notification by phone.
  • 100% refund of tuition is issued.
